Scope of this policy

This policy is all-inclusive and encompasses the data processing journeys for:

  1. Lodge Holiday Home Ownership Enquiries: Individuals requesting information, brochures, or park tours.

  2. Lodge Holiday Home Owners: Current and former owners of holiday homes on our parks.

  3. Lodge Holiday Enquiries: Individuals enquiring about short-term holiday rentals.

  4. Lodge Holiday Makers: Guests who book directly via leisureresorts.co.uk, through our booking partner Landal UK / Landal Europe, or via other authorized third-party channels (e.g., OTA platforms).

The personal information we collect from you

We collect information through direct interactions, automated technologies, and third-party partners.

Direct Collection: We collect Identity & Contact Data (name, address, email, phone), Financial Data (bank details and credit info for financing), and Transaction Data (payment records and booking history)

Third-Party & Partner Collection (Art. 14 Disclosure):

Booking Partners: We receive guest and booking data from Landal UK, Landal GreenParks (Europe). When you book a stay at one of our resorts via the Landal platform, they share your identity, contact, and booking preferences with us so that we can fulfill your reservation and provide on-park services. In these instances, both Leisure Resorts and Landal act as independent data controllers

Lead Generation: We collect enquiry data via Meta (Facebook & Instagram) lead forms.

Industry Affiliates: We receive referral data from partners including My Holiday Caravan, Just Lodges, Park Link, Explore Lodges, Harvey Longsons, and Caravan Site Finder.

Special Category Data (Sensitive Info):

We may collect information regarding health, disabilities, or mobility requirements. We process this only with your explicit consent to ensure your safety and resort accessibility.

What happens if you do not provide your personal information?

Providing your data is a contractual requirement. If you choose not to provide the requested information, we will be unable to provide our services to you. This includes being unable to:

  • Finalise holiday reservations or park check-ins.

  • Process finance applications through our lenders (such as Santander or DF Capital).

  • Respond to ownership enquiries or provide park tours.

How we will market to you

We use your personal information to keep you informed about news, updates, and exclusive offers regarding products and services similar to those you have enquired about or purchased. This ensures you do not miss out on exclusive resort news and ownership opportunities.

Channels of Communication: Marketing communications may be transmitted by email, SMS, telephone, and/or direct mail.

Social Media & Digital Advertising: We use Meta (Facebook) Pixels and Custom Audiences to deliver relevant advertisements to you. This involves the use of tracking technologies to monitor your actions on our website and may include ‘Hashing’—a process where we share an encrypted version of your email address with Meta to match it with your social media profile. This allows us to show you tailored ownership opportunities or holiday offers. You can manage your preferences via your Facebook Ad Settings or our website cookie banner

Opt-Out & Control:

Digital: Each email and SMS marketing communication contains an unsubscribe link.

Telephone: You will be given the opportunity to opt-out of any future marketing during any telephone communications.

Postal: Direct mail communications include specific instructions for unsubscribing.

To fulfill our services and meet our legal obligations, we share your personal information with select third parties. We only share the minimum data necessary for the specific purpose intended:

Booking Channels & Partners: We share and sync guest data with Landal UK and Landal Europe, as well as other appointed OTA’s, to facilitate and manage your holiday reservations and stay.

Lenders & Finance Providers: Where you propose to purchase a lodge holiday home or other product on credit, we will use your personal information to facilitate entry into a credit agreement. This involves sharing your data with the lenders on our panel, such as Santander and DF Capital, specifically to process your credit application and finance the purchase.

Secure Operational & Marketing Platforms: We share data with third-party secure and encrypted platforms used to manage our business operations and communications. These include, but are not limited to: Elite Dynamics, ParcVu BEX, Force 24, 24 X, and SizzleDeck. These partners are contractually bound to never use or share your data for any other purpose.

Regulators and Legal Authorities: We will share your personal information with third parties such as HMRC or the Financial Conduct Authority (FCA) where we are required to do so by law or to comply with our regulatory obligations.

Data Storage & Retention

We use your personal information to manage your holiday rentals and/or lodge ownership throughout the duration of our relationship with you. This includes holding your data to ensure we can always identify ownership records, rental history, and park interactions.

We store your personal information only for as long as necessary to fulfill the purposes for which it was collected, as follows:

Lodge Owners & Holiday Makers: We will store your personal information for up to six (6) years from the date you cease to be an owner or holidaymaker with us. This retention period is necessary to satisfy legal, tax, and insurance requirements, and to enable us to refer to our records in the unlikely event that a complaint or legal claim is lodged within that timeframe.

Enquiries & Marketing Leads: Where you have enquired about our products but have not yet become a client, or where you have opted in to receive updates, we will store your personal information for marketing purposes until you object or unsubscribe. For these purposes, we limit the data stored to your full name and contact details to ensure you remain informed about exclusive news, updates, and offers.

Your rights in relation to your personal information
